Account Information: When you register or are invited to TeamLoop, we collect your name, email address, and role (e.g., administrator, coach). If you sign in with Google or Apple, we receive your name and email from those providers.

Team & Roster Data: Administrators and coaches may enter player names, parent/guardian names, contact information, and team assignments.

Usage Data: We automatically collect information about how you interact with the Service, including IP address, browser type, pages visited, and timestamps.

Cookies & Sessions: We use session cookies to keep you signed in. We do not use third-party advertising or tracking cookies.

• To provide, operate, and maintain the Service
• To authenticate your identity and manage your account
• To send transactional emails (e.g., password resets) via our email provider
• To generate AI-assisted content such as message drafts and game recaps at your request
• To improve the Service and develop new features
• To enforce our Terms of Service and protect against misuse

Your data is stored on secure, cloud-hosted infrastructure. We use industry-standard encryption for data in transit (TLS/SSL) and implement access controls to protect data at rest. Only authorized personnel have access to production systems.

We use the following third-party services to operate TeamLoop:

• Google OAuth & Apple OAuth — for optional single sign-on authentication
• Postmark — for sending transactional emails (password resets, notifications)
• Cloudflare — for content delivery, DDoS protection, and DNS
• Anthropic (Claude API) — for AI-assisted features such as message drafts and game recaps (see Section 4a below)

These providers have their own privacy policies governing how they handle data. We do not sell or rent your personal information to any third party.

TeamLoop offers optional AI-assisted features, including suggested message drafts and game recaps, powered by the Anthropic Claude API. When you use these features:

• What data is sent: Relevant content needed to generate your request — such as game scores, stats, or message context — is sent to Anthropic's API for processing.
• How data is handled: Data sent to the Anthropic API is processed in accordance with Anthropic's API terms and is not used to train AI models.
• No long-term storage: Anthropic does not retain your data after processing the request beyond a limited safety evaluation period as described in their privacy policy.
• Minors' data: AI features are available only to coaches and administrators. We do not send personally identifiable information of minor athletes to the AI provider. Content sent is limited to team-level data such as scores and statistics.

These features are entirely optional. You may choose not to use them with no impact on your access to the rest of the Service.

TeamLoop takes the privacy of minors seriously. Our platform is used by sports teams whose rosters may include minor athletes.

Age Requirement: We do not knowingly allow children under the age of 13 to create an account. During the player sign-up process, we collect date of birth to verify that the individual is at least 13 years old. If an individual does not meet this age requirement, account creation is blocked.

Minors Ages 13–17: Players between 13 and 17 years old may create an account to access team-related features such as game schedules, team messages, and team information. We collect limited personal information from these users, including name, email address, and date of birth. We assume that a parent or legal guardian has consented to their use of the Service.

Coach-Entered Data: Coaches and administrators may also enter information about minor athletes (such as names, jersey numbers, positions, and team assignments) as part of roster management. This data is entered by authorized adults on behalf of the team.

Parental Rights: Parents and legal guardians may request access to, correction of, or deletion of their child's personal information at any time by contacting us at the email address below. If you believe a child under 13 has created an account, please contact us immediately so we can remove it.

We retain your account and roster data for as long as your account is active or as needed to provide the Service. If you request account deletion, we will remove your personal data within 30 days, except where retention is required by law.

Depending on your jurisdiction, you may have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Withdraw consent for data processing

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page with a revised "Last Updated" date. Your continued use of the Service after changes constitutes acceptance of the updated policy.
